This page explains what information I collect from you, why, and how it is kept safe. "I", "me" means Valentyna Klimova, sole-trader massage therapist based in Reigate, Surrey, the data controller for this website.
1. What I collect
I only collect what I need to provide a safe, considered treatment and to keep in touch with you.
- When you book online: appointments are taken through Calendly, an online scheduling service. Calendly holds the name, email and appointment details you provide them under their own privacy policy — calendly.com/legal/privacy-notice. I see your booking inside my Calendly account and in my linked calendar.
- When you book by phone or email: your name, the contact detail you give me, and any appointment preferences you share. These conversations stay in my phone records and email inbox.
- When you submit the enquiry form on this site: your name, the contact detail you give me, and the message you choose to send. This comes straight to my email inbox.
- When you visit the site: if you accept cookies, anonymous, aggregated visitor analytics — no personal identifiers, no advertising trackers.
- Health information: at or before your first session I'll ask you for a brief health intake (allergies, current conditions, pregnancy stage where relevant). This is held only in paper or password-protected form, never on this website.
2. Why I collect it
- To respond to your enquiry and confirm an appointment time.
- To deliver a treatment that is safe and appropriate for you (consultation notes).
- To keep simple records as required by professional insurance and HMRC.
3. Who I share it with
I share appointment details only with Calendly Inc., my online scheduling provider, who processes them on my behalf as a data processor. Calendly is GDPR-compliant and a more detailed list of how they handle your data is in their privacy notice linked above. Otherwise: no-one, except where I am required to by law. Enquiry-form submissions go directly to my email inbox, phone and email conversations stay between us, and nothing is sold, rented or shared with third parties for marketing.
4. How long I keep it
Booking enquiries are kept for up to 12 months and then deleted. Consultation records for clients I have treated are kept for the period required by my insurer (currently 7 years from the last treatment, in line with UK guidance for soft-tissue therapists), then securely destroyed.
5. Cookies and analytics
On this site: no cookies are set by default. If you choose Accept on the cookie banner, an anonymous analytics script (Plausible — privacy-friendly, no personal data, hosted in the EU) is loaded so I can see how the site is being used. You can decline at any time by clearing the consent in your browser.
When you book a treatment: the Calendly scheduler loads when you click a booking button. Calendly sets its own essential cookies on its widget so your selection works correctly. These are managed by Calendly under their privacy policy linked above.
6. Your rights
Under UK data protection law you have the right to ask me what I hold about you, to correct it, to ask me to delete it, and to complain to the Information Commissioner's Office if you're unhappy with how I've handled your data.
